Who handles your information

Hampstead Property Services Group Limited, company number 17404557, operates hpsg.co.uk, including Other services. Our address is Unit 3 Palace Court, 250 Finchley Road, London NW3 6DN. Contact office@hpsg.co.uk or 020 7101 3168 about your information.

Enquiries and contact details

When the button says Send enquiry, the form sends your name, contact details, property or area information, service selection and message to our enquiry service. It saves the enquiry and gives a reference after receipt. When the button says Prepare email, it instead opens your email application; you must review and send that email yourself. Please do not send passwords, access codes, payment-card details or unrelated personal documents.

If you choose WhatsApp, you leave this website and use WhatsApp's service. We receive the contact and message information you share in that conversation. You can contact us by telephone or email instead.

How we use information

We use enquiry information to understand your request, respond and discuss a possible appointment. Taking steps at your request before a contract, and carrying out an agreed contract, are the bases for that work. Our legitimate interests include handling general questions, keeping relevant correspondence and protecting the website against misuse. Records needed to meet legal obligations are handled for that purpose.

The website form does not add you to a marketing list. We do not sell personal information. If another business needs to take responsibility for your requested service, we explain the proposed introduction before sharing your enquiry with it.

Providers and website data

Website hosting and delivery providers process technical information such as IP addresses, browser information and request logs to deliver and protect the site. Our business email is provided through Google Workspace. When direct submission is enabled, Cloudflare processes and stores enquiries and provides Turnstile verification; Resend delivers the notification to our office. An enquiry reference confirms storage, not that an email has reached a particular inbox. Short-lived hashed identifiers limit repeated requests; the rate-limit records are cleared by the service after expiry.

WhatsApp processes use of its own service under its privacy policy. Our hosting and communication providers may process information outside the UK under their applicable data-protection arrangements. We may also share relevant records with professional advisers, insurers or public authorities where necessary for the matter or required by law.

We do not use advertising trackers or build visitor profiles. When contact measurement is enabled, we keep daily aggregate counts of phone and WhatsApp link clicks, enquiries received and notification outcomes to improve the website. Click counts do not contain names, messages, email addresses, phone numbers or browsing histories. You can turn click counting off in Contact click preferences below. That choice is saved in your browser; Do Not Track and Global Privacy Control also disable click counting. Links to maps and external services take you to providers with their own notices.

How long information is needed

The relevant criteria are whether an enquiry is still active, whether it led to an instruction, whether correspondence is needed to explain an agreed scope, and whether a legal, accounting, insurance or dispute-related obligation requires a record. Information should not be retained once none of those purposes applies. Contact us to ask about the records held for your enquiry or to request deletion; a record may need to be retained where an ongoing obligation applies.

Your choices and rights

You can ask to access or correct your information and, where applicable, request erasure, restriction or portability, or object to processing based on legitimate interests. Contact office@hpsg.co.uk. We may need to verify that a request relates to your own information.

You may complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. You do not need to make an enquiry or supply personal information to browse the service pages.

Contact click preferences

When measurement is enabled, we count phone and WhatsApp link clicks to improve this website. These totals contain no enquiry text, contact details or browsing history. A click is not a completed call or message.

We store only this choice in your browser when you change it. Turning counting off does not affect enquiries. We also respect Do Not Track and Global Privacy Control.
